When you enquire about or book one of our tours, we collect the personal details you provide, such as your name, address, phone number, and email address.

To manage your booking and run our business efficiently, your data is processed and stored securely across a few secure cloud services:

  • Marketing & Updates: With your permission, we may add your email address to our Mailchimp contact list to send you follow-up emails about our tours and relevant updates. You can easily opt out of these at any time.
  • Invoicing & Accounting: We sync your contact details with Xero so we can generate and manage your invoices securely.
  • Tour Management (CRM): Your contact, dietary, health, and next-of-kin information is organized into a secure guest list spreadsheet stored on Dropbox. This functions as our guest management system, ensuring our guides have the vital details needed to supply the correct food, transport, and accommodation, and to keep you safe in an emergency.
  • Email & Correspondence: Any emails you send us are securely hosted on our web server located in Auckland, New Zealand.

CONSENT

How do you get my consent?

We collect your information through explicit consent, meaning you actively and directly choose to share your details with us. This happens when you:

  1. Complete an enquiry or booking form directly on this website.
  2. Fill out a Facebook Lead Form to request information or connect with us.
  3. Voluntarily sign up for our Mailchimp email newsletter (where we proudly donate $2 to charity for every new subscriber).

By initiating these actions and submitting your details, you give us clear permission to use that information to process your booking, answer your questions, or send you the marketing updates you requested.

How do I withdraw my consent?

If you change your mind after sharing your details, you can withdraw your consent for us to contact you at any time. For marketing emails, you can simply click the “unsubscribe” link at the bottom of any Mailchimp email. Alternatively, you can contact us directly at ride@trackntrail.co.nz to request that your information be updated or removed.

DISCLOSURE

We may disclose your personal information if we are required to do so by law or to emergency personnel in the event of an emergency with you on your tour, or to suppliers on your tour to the extent necessary to allow them to perform the services they provide to us, or, if you violate our Terms & Conditions.

PAYMENT INFORMATION

If you choose to pay for your tour by credit card, you will be directed to Stripe, our chosen card processor. Stripe securely stores and processes your credit card data using encryption through the Payment Card Industry Data Security Standard (PCI-DSS).

If you choose to pay via Wise, your payment will be processed securely through the Wise platform via a direct bank transfer or secure payment link.

In all cases, your private financial details (such as credit card numbers or bank login credentials) are never stored on our website’s server, and our staff never see or have access to them.

THIRD-PARTY SERVICES

We only share your information with third-party service providers (like Stripe or Wise for payments, Xero for accounting, or Dropbox for logistics) to the extent necessary to allow them to perform their services for us.
