Tour Booking Administrator – Multi-Day Bicycle Tours

The Role:
We’re on the hunt for a highly organized and detail-focused Tour Booking Administrator to join our team. This part-time, seasonal role is perfect for someone with experience in the tourism industry who thrives on ensuring every detail is accounted for. You’ll be responsible for managing bookings, coordinating with accommodation providers, and processing payments, helping us deliver seamless and memorable experiences for our clients.

Key Responsibilities:

  • Guest List Management: Maintain and update guest lists using Excel, ensuring all details are accurate, including contact information, payment status, and special requirements.
  • Client Communication & Payment Processing: Handle booking submissions, send welcome emails, generate invoices, reconcile payments, and issue receipts using Xero.
  • Accommodation & Vehicle Bookings: Coordinate and confirm accommodations and vehicle hire for each tour, adjusting as necessary and confirming all arrangements before the tour begins.
  • Additional Administrative Duties: Add new clients to our Mailchimp list for future communications and escalate inquiries to the owner as needed.

About You:

  • Tourism Booking Experience: Proven experience in booking group accommodations and arranging hire vehicles.
  • Financial Management: Proficient in using Excel for data management and Xero for processing financial transactions.
  • Attention to Detail: Strong organizational skills with a keen eye for detail, ensuring nothing is overlooked.
  • Flexible and Adaptable: Able to manage your time effectively, especially during peak seasons (March to July).

Driver – Multi-Day Cycle Tours

Contract Duration: minimum of 2 consecutive days, up to 14 consecutive days
Pay: $40-$50 per hour in GST, paid on invoice

The Role:
We are seeking a reliable and experienced Contract Driver to support our multi-day cycle tours for a 2-day engagement. As a driver, you will play a crucial role in transporting our guests and their bikes, providing support along the way, and ensuring their safety and comfort. This role is perfect for someone who enjoys working with people and is confident in handling vehicles and trailers. Generally the vehicles are smaller 12 passenger Mercedes Sprinters. Some driving on gravel is required.

Key Responsibilities:

  • Guest Transportation: Safely transport guests between tour locations, ensuring they have a comfortable and pleasant experience.
  • Trailer Towing and Reversing: Confidently tow and reverse a trailer carrying bicycles and gear.
  • Guest Support: Be friendly, approachable, and supportive of our cyclists, assisting them as needed during the tour.
  • Safety Assurance: Ensure the safety of guests by adhering to road safety regulations and providing a secure environment.

Essential Requirements:

  • Clean Class 2 Driver’s License: Must have a valid Class 2 license with no infringements.
  • P Endorsement: Required to carry passengers legally.
  • Towing Trailer Experience: Proven ability to tow and reverse trailers with ease.
  • People Skills: Friendly, supportive, and customer-focused, with a commitment to guest satisfaction.
  • First Aid Certification: Preferred but not mandatory.

The Role:
We are seeking an experienced and reliable Caterer in Rotorua to prepare meals that will be taken on our cycle trips. Some meals will be frozen for later use, while others will be fresh. Our ideal candidate can create delicious, hearty evening dishes that are easy to heat and serve in basic kitchen facilities. Lunches are also required.

  • Meal Preparation: Create substantial, protein-based meals suitable for hungry cyclists. Focus on taste and nutrition rather than restaurant-style presentation.
  • Flexible Catering: Prepare both frozen and fresh meals that can be easily reheated in basic kitchens during the tours.
  • Commercial Kitchen: Work from an accredited commercial kitchen to ensure the highest standards of food hygiene, safety and quality.
  • Packaging: Package meals appropriately for transport and storage, ensuring they remain fresh and easy to handle during tours.
